A rent receipt is proof that a payment was made: how much, when, for which period and by what method. It protects a tenant from being asked to pay twice, and it protects a landlord from arguments about what was paid.
What it is
A rent receipt is a short document the person who receives the rent signs and hands to the person who pays it. It names both people, identifies the property, states the amount and date, says what period the payment covers and records how it was paid. Some places require landlords to give a receipt for cash payments. Even where it isn't required, a receipt is a simple way to keep both sides clear.
What to include
- The date the payment was received.
- The names of the landlord or manager and the tenant.
- The property address and unit.
- The amount and the currency.
- How it was paid, with any reference or check number.
- The period the payment covers.
- What it covers, such as rent, a late fee or a deposit.
- The balance, if it was a part payment.
- A receipt number.
- The name or signature of the person who received the money.
How to fill it in
- Enter the date the money was actually received.
- Add the landlord or manager and the tenant.
- Enter the property address and unit.
- Enter the amount, how it was paid and any reference.
- Pick the period covered with the month buttons, or choose your own dates.
- If the tenant paid only part, add the rent due so the balance prints.
- Tick what the payment covers.
- Check the preview, download the file, give the tenant a copy and keep one.
Common mistakes
- Leaving out the period the payment covers.
- Not recording whether it was cash, a transfer or a check.
- Using today's date for a payment that was received earlier.
- Writing "paid in full" on a part payment.
- Mixing a deposit and rent in one amount without saying so.
- Not keeping a copy.

Frequently asked questions
Can I give one receipt for a payment that covers two months?
Yes. Set the period covered to the full span, for example 1 March to 30 April, and enter the total received. If the tenant paid two separate amounts on different days, give a receipt for each payment instead, so each one matches the date the money arrived.
Does a landlord have to give a rent receipt?
It depends on where you live. New York, for example, requires landlords to give a written receipt when rent is paid in cash or by anything other than the tenant's personal check, and a tenant can ask in writing for a receipt for a personal check. Other places have their own rules. Even where it isn't required, a receipt avoids arguments.
What should a rent receipt include?
The date received, who paid and who received, the property, the amount, how it was paid, and the period it covers. The form on this page asks for each of these.
Can a tenant write their own rent receipt?
A receipt only means something when the person who received the money issues or signs it. A tenant can ask the landlord for one. Please use this tool only to record payments that were really made.
What if the tenant pays only part of the rent?
Enter the rent due so the receipt shows the balance, and don't write paid in full.
Should we both keep a copy?
Yes. How long you need to keep records depends on local rules.
Is a rent receipt the same as a lease?
No. A lease sets out the terms of the tenancy. A receipt only records that a payment was made.
