    What it is

    A packing slip is a document that goes in or on a shipment. It lists the items in the package, their quantities and who the order is for, usually without prices. The person receiving the parcel uses it to check that everything arrived. A packing slip is not an invoice, which asks for payment, and it is not a bill of lading, which is a shipping document between the shipper and the carrier.

    What to include

    • Your business name and return address.
    • The packing slip number and the order number.
    • The order date and the ship date.
    • The ship-to address.
    • The shipping method and tracking number.
    • Item names or SKUs, with descriptions.
    • The quantity ordered and the quantity shipped.
    • Anything on backorder.
    • The number of packages.
    • Return instructions and any notes.

    How to fill it in

    1. Add your business details and a logo if you have one.
    2. Enter the order number and dates, then the ship-to address.
    3. Add the items with the quantity ordered and the quantity shipped. The backordered amounts are worked out for you.
    4. Add the shipping method, tracking number and number of packages.
    5. Add a note for the customer and your returns information.
    6. Decide whether to show prices. They are off by default.
    7. Check the preview, download the file, print it and put it in the parcel.

    Common mistakes

    • Listing a shipped quantity that doesn't match what is in the box.
    • Forgetting to note items on backorder.
    • Showing prices on a parcel that is a gift or going to someone other than the buyer.
    • Leaving off the order number.
    • Giving no return instructions.
    • Mixing up a packing slip and an invoice.

    Frequently asked questions

    Should the packing slip go inside or outside the box?

    Most senders put it inside the box, on top of the items, so the person unpacking sees it first. Some put a copy in a clear pouch on the outside as well. Either way, keep your own copy so you can check later what left your hands and when.

    What if one box holds items from two orders?

    Make a separate packing slip for each order and put both in the box. Each slip should list only the items for its own order, so the customer can match every slip to the right invoice and spot anything missing quickly.

    Do I need to sign a packing slip?

    No signature is required. The blank Packed column is there so whoever packs the box can tick each line as it goes in. Some businesses add the packer's initials at the bottom, which makes it easy to ask the right person if something is missing.

    What is the difference between a packing slip and an invoice?

    A packing slip lists what is in the parcel, usually without prices. An invoice asks for payment and shows prices and totals.

    What is the difference between a packing slip and a bill of lading?

    A bill of lading is a shipping document between the shipper and the carrier. A packing slip is for the person receiving the goods.

    Should a packing slip show prices?

    Usually not, especially for gifts. Turn on the price option if your customer wants them.

    What does backordered mean?

    It means items the customer ordered that you haven't shipped yet. The form works it out from the quantity ordered and the quantity shipped.

    Where do I put the packing slip?

    Many sellers put it inside the parcel or in a sleeve on the outside. Choose what suits the way you ship.

    Do I need to include a tracking number?

    It isn't required, but it helps the customer. Add it if you have one.
