A maintenance work order tells a technician what to do to a piece of equipment, when and in what order, and leaves space to record what was found. Use this free maintenance work order template to build one with a task checklist, parts and the next due date, and download a PDF or Word file. There is no account to create.
What it is
A maintenance work order is a document that records a request for maintenance on a specific asset, such as a boiler, a lift, a vehicle or a machine. It names the asset and where it is, the type of maintenance, the priority, the tasks to carry out, the parts needed, and the dates. Preventive work repeats on a schedule, so the order can show when the next one is due. Corrective and emergency orders fix something that has failed. A good order leaves room for readings and notes, and for a sign-off when the work is done. It is not an invoice.

Frequently asked questions
What is a maintenance work order?
It is a document that records a request for maintenance on a specific asset. It says what is to be done, where, by whom and by when.
What is the difference between preventive and corrective maintenance?
Preventive maintenance is planned work that repeats on a schedule to stop failures. Corrective maintenance fixes something that has already failed or is failing.
How do I set up a repeating work order?
Choose how often it repeats and set the scheduled date. The next due date is worked out for you and printed on the order.
Should I include a safety lockout step?
For equipment with moving parts or stored energy, yes. Isolate and lock it out before work starts, and follow your site's safety procedures. The form has a statement you can tick.
What priority should I use?
Many teams use low, normal, high and urgent. Emergency work is usually high or urgent.
Can I print it and fill in the end by hand?
Yes. The completion section has blank lines for the work performed, the readings and the sign-off.
Is a work order the same as an invoice?
No. A work order organizes and records the maintenance. An invoice asks for payment.
